PRIVACY POLICY – Recruiting

Introduction

At LLBG, we take our obligations under privacy and data protection law seriously. This privacy policy is designed to help you understand what personal data we collect for recruitment purposes, why and how we use it and who we share it with. It also explains the rights you have in connection with your personal data, including how to contact us or to make a complaint.

Who is responsible for the processing of your personal data

When you apply for a job at La Lorraine Bakery Group, you will provide certain personal data. The entity controlling the processing of your personal data is LLBG NV, a company incorporated under the laws of Belgium with registered office at 9400 Ninove, Elisabethlaan 143, Belgium and VAT number BE 0412.382.632 (hereinafter “LLBG” or “We”).

What type of personal data do we collect?

We process the personal data you submit to us via our website (or directly to one of our recruiters) such as you contact details and the information in your cv and any attachments such as diplomas, certificates, etc. We may also collect information about you from publicly available sources, such as your LinkedIn profile to the extent permitted under applicable law. We also process the information you provide to us during the recruitment process, such as financial information, references and the results of competency tests, personality tests and background controls.

We do not process any special categories of personal data revealing racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, data concerning health or data concerning a natural person's sex life or sexual orientation.

Why do we process your personal data?

We process your personal data for one or more of the following recruitment and selection purposes:

To manage the recruitment process.

To communicate with you during the recruitment process.

To invite and register you to/for our LLBG job events.

To inform you regarding other open positions within LLBG if you explicitly consent to this.

To analyze and improve our recruitment process.

Legal basis for processing

We process your personal data on the basis of our legitimate interest in evaluating applicants who have submitted their personal data spontaneously through our website or specifically in relation to a posted vacancy within LLBG. It also provides us a legal basis for potential disputes with regards to discrimination legislation.

If you disagree with our point of view and do not want your personal data to be processed based on legitimate interest, please contact us as you can opt out or object to this processing at any time. In such a case, we are not able to take your application into consideration.

Some processing activities are necessary in order to be able to take steps prior to entering into (an employment) contract with you.

If we process your personal data for purposes which require your explicit consent, we will obtain such consent prior to the start of the processing.

Who do we share your personal data with?

As a general principle, we do not share your personal data with third parties.

Your personal data are saved within our talent acquisition database only accessible by our talent acquisition team.

Exceptionally, we may do so:

For the purpose of our internal organization to allow our colleagues within LLBG, with a strict need to know and on a confidential basis, to evaluate your application.

When useful or necessary for the purpose, to processors that process on our behalf, i.e. to perform certain (processing) activities such as CV Warehouse with whom we collaborate via this recruitment site or to IT, hosting and communications service providers, recruitment agencies, or processors that process personal data for competency & personality tests.

To authorities when required by law and/or administrative decisions.

In such cases, we enter into a processing agreement with these external parties that have access to your personal data for the performance of their services.

How long do we keep your personal data?

We keep your personal data for as long as your recruitment process is ongoing, with a maximum of 6 months after the end of this process (legal basis in discrimination matters).

If you consent to the processing or your personal data so we can contact you for future positions, we will keep your data for a maximum of two years.

If you want your personal data to be removed from our database, you can send a simple request to privacy@llbg.com at any time and we will remove your personal data from our database within one month after having received your request. If you would request the removal of your personal data during the application process, we might not be able to take your application into consideration.

What are your rights?

You have several rights regarding access to and control of your personal data, including:

Right to withdraw your consent: If you have given us your consent to process your personal data, you can withdraw this consent at any time.

Right of access: To get a confirmation of and information about the processing of your personal data

Right to rectification: To have your personal data corrected if inaccurate or incomplete.

Right to erasure: To have personal data processed about you deleted/anonymized (limited to personal data that, according to law, can only be processed with your consent and in case you revoke such consent)

Right to restriction: To limit the processing of personal data (under certain circumstances, e.g. if you oppose to the accuracy of the data)

Right to object: Where we rely on our legitimate interests to process your personal data, you have a right to object to this use.

Right to portability: To gain access to your personal data in a simple and transferrable format (under certain circumstances, e.g. limited to data provided to us by you)

Complaints

If you have any complaints about the way LLBG processes your personal data, you can file a complaint with the Belgian Data Protection Authority www.dataprotectionauthority.be.

Amendments

LLBG reserves the right to amend this policy in order to comply with applicable privacy laws. We may revise this policy at any time by amending this policy.
